Application for Student Event/on Campus Meeting

The University of the Fraser Valley supports students in their personal and educational development by providing space for programming and event use, consistent with the Use of University Space Policy (Policy 132). Through the process below, students, clubs and associations are permitted to apply to use University controlled spaces and host events. This process is conducted in partnership with the University of the Fraser Valley Student Union Society.

Student Event Planning

If you are planning a UFV event you must fill out the online form here. You will be asked a number of questions about your event in the form. If you are more specific in the details you relate about your event, it will significantly reduce the amount of time required to review your proposal since we may not need to follow up with you for more details. The information submitted will be used by the reviewer(s) to understand the nature and structure of your event. Any information about content (names of speakers, topics to be covered, names of films being screened, types of games, etc.) and logistics (agendas, organizing structures, registration locations, etc.) will speed the process up.

Please complete this application which will be submitted to the Student Union Society (SUS) for review for compliance with SUS regulations. Upon approval by the SUS, this form will be forwarded to the Office of the Vice President, Students for final approval.

This application should be submitted a minimum of three (3) weeks prior to the date of the event.

Once your proposal has been reviewed you will receive an email from the Office of the Vice President, Students. This email will advise whether your event has been approved and will confirm your on-campus booking information. Should your event not be approved, the email will provide reasons, and suggestions for changes to the event.

Please remember that whether your event is on or off campus, you are subject to the Student Code of Conduct (policy 204), and all other applicable UFV policies which can be found here.
