Graduation from UFV
If you are a UFV student who has met the criteria to graduate from one of our many programs, CONGRATULATIONS on your achievement! It has taken arduous study and dedication to make it to this stage.
UFV has developed this site to provide some important information about the process involved in order for you to graduate. Please review this information to ensure a successful graduation and convocation.
It is the student’s responsibility to ensure that all program requirements are met. This should be done by regular program review and/or consultation with the appropriate department.
UFV recognizes a student’s graduation by awarding a degree, diploma, or certificate. Students must apply for graduation by completing a Graduation Request form, available at the Office of the Registrar or online.
Please note that the Office of the Registrar department manages academic issues related to graduation and is responsible for maintaining the academic records for all students at UFV. The Marketing and Communication department coordinates the convocation event.
Application for graduation
Every candidate for graduation needs to submit a Graduation Request (pdf) form. This formal application for graduation needs to be submitted to any Office of the Registrar.
Graduation requests can be submitted anytime during the semester in which you will complete your program requirements, but no later than April 1st, with all program requirements completed by the Winter semester grade deadline.
Please note, if you are completing your requirements in the summer semester, your application will NOT be processed until after June and you will NOT be eligible to attend this year’s convocation ceremony.
Your up-to-date mailing address, telephone number and email address should be on your student record. This is important in order for us to contact you regarding any problems or questions which affect your graduation eligibility. Also, the Marketing and Communication department will be mailing information to all graduation candidates in May, regarding upcoming convocation ceremonies. You can check your contact information on myUFV.
All students, except the following, must pay the $25 graduation fee.
- Career Technical Centre (CTC)
- Training in Attitudes, Skills and Knowledge for the Workplace (Workplace TASK)
- Adult Basic Education (BC Adult Graduation Diploma; also known as the Adult Dogwood)
- The following Continuing Studies certificate programs:
- Community Pharmacy Technician
- Dental Office Receptionist
- Floral Design
- Legal Administrative Assistant
- Medical Imaging Clinical Support Worker
- Medical Office Assistant
- Nursing Unit Clerk
If you are NOT eligible to graduate, your graduation fee cannot be refunded or rolled forward to a future convocation. Therefore, you are encouraged to consult with your program advisor(s) before submitting your Graduation Request form.
Note: Students attending convocation are required to pay a regalia fee. Regalia should be ordered online prior to the ceremony; see convocation for details.
Upon receiving your Graduation Requestform, UFV records and graduation officers will send a graduation approval package to the department responsible for checking that you meet graduation requirements. Once this is done the records and graduation officers will submit your name to the UFV senate for approval. The senate considers these requests at any of its meetings, which are held monthly between mid-September and the end of May.
Academic records are updated when the senate has given its approval.

Graduation documents (parchments)
UFV awards a parchment — an official certificate affirming your degree, associate degree, diploma, or certificate — to every graduate. Students can choose to have their parchment mailed or presented to them at the convocation ceremony. If you have not received your parchment, please contact a records and graduation officer at 604-702-2604 or 604-795-2804.
Request for parchment reprints
If the parchment you were issued upon graduating has been lost, destroyed, stolen, or damaged, or if you had a legal name change, you may apply to have your parchment reprinted. You may request only one copy of each credential and “duplicate” will be noted on the reprinted parchment. To apply for a reprint, please review the requirements, and submit a completed parchment reprint request (pdf) to the address or fax number noted on the form, or drop it off at any Office of the Registrar.
Note: Replacement parchments take approximately six weeks to process. If you require proof of graduation immediately, you can request a transcript (pdf) or have the requester contact Auradata for graduation verification at www.auradata.com
Grade submission/transfer credit
All grades MUST be submitted to the Office of the Registrar in Chilliwack by the Winter semester grade deadline.
If you are assigned a failing grade in a required course and are expecting a grade change, you must ensure that your instructor submits this grade change immediately, otherwise you will be considered ineligible to graduate.
Students who plan to use credit from other institutions to meet the requirements for a UFV credential must apply for transfer credit at least three months before applying to graduate.
OReg issues official UFV transcripts to current and former students. All official transcripts carry the signature of the registrar as well as the seal of the school, and are enclosed in a sealed envelope bearing an official signature.
Upon conferral of graduation, student academic records will be updated to show graduation status, but please note that official transcripts are NOT issued automatically upon graduation. Parchments are not awarded to students who have outstanding debts to the University. If you have an unpaid student bill, please contact the Office of the Registrar or the library to arrange the required payment(s).
Students with exceptional scholastic records are given special recognition when their names are added to the Dean’s List of Distinguished Students. This list is prepared for each semester and for convocation.
To be eligible for the Dean’s List a student must be enrolled in at least 15 credits in a semester with a semester GPA of 3.5, or have completed all graduation requirements. Eligible graduating students must have a cumulative GPA of 3.5 in their current program, or within the previous five years, whichever is shorter, with a semester GPA of at least 3.0 in the most recent semester. Eligible students in Trades programs must have an average of 90% or higher in all courses.
Please note that UFV Outstanding Achievement Awards are not indicated on your academic record. Contact your department for more information pertaining to these recognition awards.
