Reporting to the Manager, Purchasing the Purchasing Assistant is primarily responsible for performing a variety of administrative and purchasing duties to support the Purchasing division. The Purchasing Assistant’s key responsibilities include:

 

  • Prepares and generates purchase/confirmation orders, including routine supply and service purchases, for various departments
  • Maintains annual Blanket Order program with departments
  • Maintains chargebacks for purchasing inventory and provides Finance with monthly account information on various department purchases
  • Locates supply sources for repairs, returns, replacements; credits as required
  • Liaises with user departments to develop specifications and criteria for various goods, services and equipment
  • Processes requisitions and releases approved purchase orders to commercial entities
  • Reconciles departmental and order discrepancies
  • Acts as lead liaison for the Online Stationary and Purchasing Card programs, receiving application requests, preparing for approval, and training users
  • Acts as lead for  all local purchase orders (LPO) application requests, training associated and continued client education

Qualifications

Minimum one (1) year of post-secondary education in related courses such as purchasing and office skills from a recognized post-secondary institution. Active enrolment in the SCMP (Supply Chain Management Association) or equivalent, preferred. Minimum two (2) years of current experience within a purchasing department specializing in active purchasing procedures. Familiarity with public institution processes and procedures.
