Mail Services

Internal Mail
The morning mail run begins at 8:30am - both internal and external mail is picked up and sorted.

The afternoon mail run begins at 1:30pm - both internal and external mail is picked up.

Any item to be sent to areas off campus should be ready for the AM pick up to ensure same day delivery.

To ensure quick delivery of Internal mail, please have the full name, department, and campus clearly marked on outside of envelope.  It is also helpful if all previous names are crossed off.

External Mail
All Canada Post external mail is sent out the same day as pick up.  For International and USA mail, we generally use a company called “Spring”.  Rates for this company start at $.52 and $.57 respectively, and go up by weight.

External mail should have the budget code clearly indicated on the top of the envelope.  In cases where more than one item is being mailed, it is acceptable to put the code on the first piece of mail and then contain the rest with an elastic band or in a container.  Mail bins are available for large mail output upon request.

Registered Mail
All registered mail should be accompanied by a shipping requisition.  Once prepared, the pink copy will be returned to the sender with a code that can be traced via the Canada Post website.

Bulk Mail
For mail where more than 1000 pieces are being sent out, please contact the mailroom at Local 4214 to find out whether it qualifies for an Addressed Admail.  The cost per piece in this category starts at $.37 and increases after 50 grams.  Guidelines for addressing can also be obtained at that time.

Post Cards
Post cards can be put through the mail machine only if the card stock will readily accept the ink from the mail machine.  If you are using anything that will not accept the ink, please contact the mailroom at Local 4214 for the appropriate indicia prior to printing.

Courier Mail
All Purolator, Fedex , UPS, and TNT mail placed into the external mail is delivered to Shipping and Receiving; all courier shipments must be accompanied by a shipping requisition.

During the summer, it has been the practice to reduce mail services to one mail run a day.  Notification is through UFV Info.
